ORGANIZATIONAL SUMMARY:
The University Controller's Office, led by the Assoc. VP/Controller, is primarily responsible for safeguarding university wide institutional resources and provides accounting, analytical and operational financial support for the instructional, research and service missions of USF, while ensuring compliance with all Federal, State, and regulatory financial guidelines.
The UCO consists of Accounting and Reporting Services (General Accounting, Financial Reporting, Research Cash Management, Asset Management, & Construction Accounting); Student Accounting Services (Cashier's Office, Student Accounting & Customer Service, and Accounts Receivable); and the Office of Budget & Financial Analysis.
All groups in this division have unique and collaborative missions including State University System financial and budget reporting, internal reporting & analysis, financial & management systems support, as well as business decision support. This office coordinates university budgeting, internal management reporting and delivers critical information to guide financial planning and strategic decision making, thereby supporting the University's goals of excellence and financial stability.
POSITION SUMMARY:
This position is responsible for providing high level customer service to students and their families via face-to-face, email, and telephone. This position also performs accounting and administrative duties to support the work of Student Accounting Services using the Banner/OASIS student system. This position will do in-depth account analysis, identify and prepare any adjustment requests required on the student account. This position will act as a resource for other departments Banner related inquiries. Will assist students in preparing required forms needed for various appeals and provide documentation as needed.
RESPONSIBILITIES:
Customer Service - Respond to student and family inquiries in person, email or telephone. Explains policies, answers questions, and independently resolves problems when feasible. Use Banner to perform in-depth student account analysis which may necessitate involving other University departments. Ensure all transactions are compliant with USF policies, procedures and business processes. Identify any adjustments that may be needed to the student account based on the analysis, notify departments of any discrepancies, and prepare requests to complete. Explain the student account accurately and clearly to students and parents. Act as a resource for other departments within the University with Banner related inquiries regarding the student account. Apply sound judgment to respond to individual needs and special situations appropriately and referring problems as necessary. Stay up to date on State and University regulations and have the ability to clearly explain to students as needed.
Data entry - Add and remove ICAR charges when accounts are placed and removed from a collection agency. Reconcile individual Banner accounts to our placement of monthly invoices. Verify amounts to be collected and the collection costs posted to banner.
Bankruptcy intake, tracking and imaging using Excel and BDMS all bankruptcy notices. Enter a charge on OASIS and utilize the description field to notate Filing type (7 or 13) and Discharge date.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a High School diploma and four years of related experience in an accounting function. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
PREFERRED:
Prefer previous customer service experience in a university setting. Experience with Banner
