APEX Program is an innovative program that has been providing services to the students in the state of Georgia, supported by Georgia Department of Behavioral Health and Developmental Disabilities (DBHDD), and school systems.

Under general supervision, performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment. Work is performed under the general supervision of a clerical or administrative supervisor.
Duties & Responsibilities:
Receive referrals from school partners and create ECR.
Contacts the guardian of the clients to provide information about program, and scheduled appointments, or persons referred for services but not yet engaged/attending.
Contact the family to complete administrative documentation in ECR.
Schedule initial appointments with assigned clinicians.
Complete clerical portion of service authorization request.
Identify barriers to clients prior to attending services and implement a solution.
Provide linkage case management if the client' guardian believe the school based service is not the best option for the client
Review clinician caseloads to determine clients not seen in 90 days; consult with clinician to determine if re-engagement or transfer/closure is needed & complete as necessary.
Develop/maintain tracking procedure to follow client progress and re-engage as necessary.
Check and monitor insurance coverage at the beginning of the service and each month.
Answer clerical inquiries from client, school and team members.
Assist in monitoring failed activities.
Assist administrative discharge of clients.
Update materials and activities for clients (apps, printing worksheets, books, etc).
Assist programs material needs by ordering and managing supplies.
Other duties as assigned.
Minimum Qualifications:
High school diploma or GED AND Two years of general office or administrative experience. Must be able to write, read, speak, and comprehend English and Spanish.
Preferred Qualifications:
Minimum 1 year experience working in a medical/mental health setting.
Outgoing, engaging and personable communication skills.
Experience working with insurance and billing.
Experience using Carelogic or other electronic record system.
Excellent computer skills including familiarity with Microsoft Word, Excel, and
Med Terminology is essential.
Highly organized and detail oriented.
Requirements/Competencies:
Bilingual (Spanish)
Must be able to lift 20 pounds.
Requires long periods of sitting/standing.
Must be able to respond quickly to sounds.
While performing the duties of this job, the employee is frequently required to sit, move about, hear and speak.
Candidates for selection must pass a criminal background check (including fingerprinting)
Must pass a pre-employment drug screen and subject to random drug screens.
Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities
Note: Some positions may require a valid driver's license.
