Administers the scheduling, billing, and set-up of facilities for internal and external constituents for non-academic purposes. Administers property inventory and fleet management.
1. Schedules university facilities for university special events, conferences, workshops, and community events.
2. Coordinates event set-ups with event sponsors, Facilities Events staff, vendors, and caterers.
3. Ensures events are in compliance with Texas Alcohol Beverage Commission and university policies.
4. Administers the online campus event calendar; approves and monitors campus events submitted online; makes schedule changes as needed.
5. Processes rental invoices for external events; collects rental payments; and maintains spreadsheet of external events and incoming revenue.
6. Coordinates annual physical inventory for controlled, capitalized, and federal equipment in compliance with state guidelines; receives and processes property management documents; and provides guidance and assistance to property custodian and accounting specialist.
7. Administers fuel credit cards; monitors credit card usage; collects mileage user reports; creates monthly expense reports; and informs drivers when vehicle renewal registration and inspections are due.
8. Coordinates department travel arrangements and processes travel documents; reconciles credit card purchases, and prepares required expense reports.
9. Operates HVAC software to monitor and adjust temperatures in absence of maintenance staff.
10. Performs other job-related duties as assigned.
Minimum Qualifications: (60) semester hours college coursework and (5) years secretarial experience, or equivalent combination of education and relevant experience
