Assistant to the CEO (Finance)
Provides a high level of support to the President/CEO and Board of Directors. Ensures integrity of the governance framework, efficient administration, compliance with statutory and regulatory requirements, communication, and assists in implementing decisions made by the Board of Directors. Performs a wide range of complex responsibilities involving confidential information, such as compiling reports, scheduling meetings and preparing agendas. Utilizes analytical skills and a broad understanding of the organization to effectively interpret needs, providing a bridge for smooth communication between the Executive Office and the Board. Works independently, exercising considerable judgment and discretion in completing assignments.
Essential Duties(Other duties within the scope of this position may be assigned.)
1. Provides high level of support for the President/CEO (CEO) and Board of Directors.
2. Possesses knowledge of board roles and responsibilities.
3. Prepares and disseminates information to Board of Directors, Committee members, and Executive Staff members.
4. Attends meetings of the Board of Directors, Executive Committee, Board Committees, and Executive Staff meetings. Prepares and maintains accurate minutes in a timely manner.
5. Acts as a liaison for the Board of Directors, administering corporate actions of the board and facilitating board communication. Operates with the highest degree of confidentiality.
6. Assists in researching and/or locating historic board motions or actions for the finance and real-estate development teams.
7. Prepares the Board/Committee annual calendar.
8. Responsible for maintaining central repository of all Board related documents, calendars, and other materials pursuant to company practices.
9. Manages the content and retention of the organization's official Board records. Ensures records are maintained in accordance with Goodwill's policies and practices, as well as compliant with regulatory/legal requirements.
10. Independently creates, edits, and prepares reports and presentations, demonstrating meticulous attention to detail.
11. Drafts communications for the CEO.
12. Assists from conception to completion, in the planning and execution of successful logistics for internal and external meetings, trainings, conferences, and events.
13. Monitors and prioritizes communications on behalf of the CEO.
14. Responsible for managing requests for action by the CEO.
15. Assists and collaborates with other members of the executive administrative team as needed. Investigates and resolves matters of significance on behalf of management.
16. Provides oversight and manages CEO's schedule.
17. Organizes and manages presentation materials, set-up and connectivity using video conferencing solutions (Teams, Zoom, etc.) for virtual, in-person and hybrid meetings.
18. Completes special projects as assigned by the CEO.
Supervisory Responsibilities
The associate in this position has supervisory responsibility for designated associates in their department.
Education/Experience/Certificates/Security Clearance
• High School Diploma or GED required. Associate degree in business or a related field preferred.
• 5 Years' experience in a related field required.
• Must have or be able to secure Notary certification and act to notarize Goodwill documents.
• Valid state driver's license, insurance and satisfactory driving record are required.
• Associates in this position will be required to successfully pass both state and federal criminal background checks and sex offender check.
• Advanced proficiency with MS Office to include Word, Excel and PowerPoint.
